Proof of accommodation for your visa

Proof of accommodation shows where you'll stay for every night of your trip. Here is what consulates usually accept, and the fastest way to get it right.

What counts as proof of accommodation

Requirements differ by country and consulate, but these are the documents usually accepted:

• A hotel reservation in the applicant's name covering the dates of the trip.
• An invitation or hosting declaration from a person you'll stay with. Some countries use an official form, for example the attestation d'accueil in France or the Verpflichtungserklärung in Germany.
• A rental agreement or booking for a private rental.
• For organised trips, a tour itinerary from the tour operator that includes accommodation.

Hotel reservations

A hotel reservation is the simplest proof for most travellers. It should show your full name, the hotel's name and address, check-in and check-out dates, and a booking reference. You don't need to prepay: a reservation with free cancellation is a normal hotel booking.

Staying with friends or family

If you're staying with someone, the consulate usually wants an invitation letter plus the host's ID and proof of address, and sometimes an official form issued by the local authorities. Processing those forms can take weeks, so start early. For part of the trip in a hotel and part with a host, submit both.

Common mistakes

• Dates that don't match flights, leaving nights uncovered.
• A different spelling of the name than in the passport.
• One booking for a multi-city trip when you'll be in several cities.
• Bookings that expired or were cancelled before the appointment.
• Edited or invented vouchers. Consulates can call the hotel.
