How to show proof of accommodation for a Schengen visa

A practical checklist for the accommodation part of your Schengen application, based on what consulates commonly ask for.

Accepted documents

• Hotel reservations in your name for the dates of the trip.
• An invitation from a host, often with an official hosting form depending on the country.
• A rental agreement or holiday-rental booking.
• A tour operator's itinerary including accommodation.

Checklist

1. Every night from arrival to departure is covered.
2. Dates match your flight reservation and travel insurance.
3. Names match your passport exactly.
4. Each city in your itinerary has its own booking for its nights.
5. Hotel name, address and a booking reference are visible.
6. The booking is active on your appointment date.

Host invitations

If you stay with friends or family, get the invitation early: some countries require a form issued by local authorities, which can take weeks. See the country guides for the name of the form in France, Germany, Italy, Spain and the Netherlands.

Mistakes to avoid

• Booking too early and letting the reservation lapse before the appointment. Book close to it, or extend the hold.
• Submitting edited or invented vouchers: consulates can call hotels.
• Leaving the last night uncovered when your flight leaves the next morning.
